This event had been in the works for quite some time. I got in touch with my boss, Mr. Zhou—the organizer of this event—at the end of 2024. He mentioned the upcoming event to me, and I thought I might be able to contribute in some way. So I asked if I could take on a part-time role, helping to plan and design the layout. He immediately agreed, and that’s how I ended up being responsible for part of the event planning and the entire layout design of the venue.

Prepare

In the days leading up to the exhibition, we needed to prepare a large amount of materials to be distributed to the guests. This part was fully handled by Mr. Zhang and my colleagues. In June 2025, I went to the venue in advance to take measurements for the upcoming design work.

Design

The design process was relatively straightforward, and the concept came together quite naturally. There were a total of 10 participating vendors, along with one official booth representing our own brand. In addition, we set up a large redemption counter where guests could collect giveaways and materials. Two small interactive game stations were also arranged for guests to enjoy. That was the full layout of the exhibition. We also created a small decorative photo spot for guests to take pictures. My job was to design the entire setup and handle the on-site arrangement before the event began.

I was also responsible for designing the photo spot. I created two design proposals using rendering software, and Mr. Zhou said he preferred the second one. So we decided to go with the second design for the venue.

Event eve

The night before the exhibition was our busiest time. Since the venue was still hosting a celebration event that evening, we had to wait until it ended and the hotel staff finished cleaning before we could begin our setup. Before that, my colleagues and I were all busy preparing materials for the guests and setting up the registration desk. It wasn’t until 10 PM that the hotel manager informed us we could finally enter the venue and start setting up for our event.

Then the venue setup officially began. We started by checking all the props and materials needed for the exhibition, such as display boards and the registration wall. We also had to communicate our setup plan to the hotel manager and staff, so they could provide the tables required for the vendors’ booths.

Once the celebration event had ended and the venue was fully cleaned, we entered the space and began the setup.

After coordinating with all parties involved, we began the setup. Here are some photos from the setup process.

Next was the setup of the photo spot for guests to take pictures.

At that point, the setup of the entire venue was essentially complete.

I was used as a stand-in model by the photography team to help them adjust the lighting.

During the event

The event was very successful, attracting a large number of ticket buyers and visitors.

After event

After the event, our boss announced that a total of 404 tickets had been sold, and the revenue was quite substantial. The event was a great success, and I hope to have the opportunity to work with Mr. Zhou again in the future.
